A miniature clay shop with a striped awning and a glowing spark

If you run a small business, you probably spend hours every week on writing that is not your actual work: replying to customers, describing products, posting on social media, writing job ads and policies. AI chat can draft most of it in minutes. This guide covers the tasks where it saves the most time, prompts you can adapt, and the limits you need to respect, especially around customer data and claims.

Where AI saves small businesses the most time

1. Customer emails and replies

Paste a customer message, with names and order numbers removed, and ask for a reply in your tone. It is especially useful for difficult messages such as complaints, refund refusals and late deliveries, where the wording matters.

A customer wrote this complaint about a late delivery:
"""[paste message]"""
Write a reply that apologises without blaming the courier, explains that
we have [action we took], and offers [refund / discount / nothing extra].
Tone: warm, human, short. Sign off as [your name], [business name].

The email writer handles this in one step.

2. Product and service descriptions

Give the facts: materials, sizes, who it is for, what problem it solves. Then ask for versions of different lengths for your website, marketplace listings and social posts. Never let AI add features or claims you have not confirmed.

3. Social media posts

Ask for a week of post ideas built around real things happening in your business: a new product, a behind-the-scenes moment, a question customers often ask. The caption generator writes captions with hashtags, and the social media prompts give you more starting points.

4. FAQ pages and policies in plain language

Paste the questions customers ask you most and ask for clear answers in your voice. For return policies and terms, AI can make your existing text easier to read, but anything legally binding should be checked against the rules in your country.

5. Procedures and checklists

Describe how you open the shop, pack an order or welcome a new employee, and ask for a step-by-step checklist. Written procedures make it much easier to train staff or hand over tasks while you are away.

6. Job ads and interview questions

Describe the role, the hours and what a good hire looks like, then ask for a job ad and a set of interview questions. Check that the ad contains no wording that could discriminate, which is regulated in many countries.

7. Spreadsheets and numbers

Describe your columns and what you want to calculate, and ask for the spreadsheet formula with an explanation. Test it on a few rows where you already know the answer.

8. Messages in other languages

The translator helps you understand and answer customers who write in other languages. For important messages, keep your wording simple and, if you can, ask a native speaker to check.

Give the AI a business profile

Instead of explaining your business every time, write a short profile once and paste it at the start of each chat, or save it as the instructions of your own assistant in the chat (see assistants):

About my business:
- Name: [name]. What we sell: [products or services].
- Customers: [who they are and what they care about].
- Location and languages: [city, languages we use].
- Tone of voice: [for example friendly, plain-spoken, no jargon,
  no exclamation marks].
- Things we never say or promise: [for example "cheapest", or delivery
  dates we cannot guarantee].
Use this in every answer.

This single step makes most drafts sound like your business instead of a generic company.

Weak vs strong: a promotion idea

Weak:
Give me marketing ideas.
Strong:
I run a small bakery in a residential area. Weekday mornings are busy;
2 to 5 pm is quiet. My promotion budget is very low. Suggest 6 ideas to
bring in more afternoon customers, each with the cost, the effort
involved, and how I would know whether it worked. No paid ads.

A specific situation, real constraints and a way to measure results turn a generic list into a plan. The business prompts and marketing prompts have many more like this.

Ask for a few options with their trade-offs rather than "the best" one. You know your customers; the AI does not. The built-in marketing assistant is a good partner for this kind of brainstorming.

Limits and rules to respect

  • Customer data: do not paste customers' names, contact details, addresses or payment information into AI tools. Data protection laws in many places, such as the GDPR in the EU and the UK, set rules on how you handle personal data. Remove or replace personal details first.
  • Legal, tax and accounting: AI can explain general concepts and help you prepare questions for your accountant or lawyer. Rules differ by country and change often, so do not base decisions on AI answers alone.
  • No fake reviews or testimonials: fake reviews are deceptive and illegal in many places, whether a person or an AI writes them. Ask real customers instead; AI can help you write that request.
  • Claims in ads: words like "best" and "guaranteed", health benefits and environmental claims may need proof. Only publish claims you can back up.
  • Facts and numbers: check them before they go on your website, invoices or price lists.
  • Your voice: customers choose small businesses partly because they feel personal. Edit AI drafts until they sound like you.

A simple weekly routine

  1. Once a week: plan the week's social posts and any promotion in one chat.
  2. Every day: draft replies to tricky customer messages.
  3. After meetings and calls: paste your notes into the summarizer and pick one action to take.
  4. Once a month: review your product descriptions and FAQ for anything out of date.

Example: a product description from facts

Here is the kind of prompt that produces copy you can actually use, because every claim in it comes from you:

Write a product description for my online shop (about 80 words) and a
one-line version for social media. Facts: hand-thrown stoneware mug,
350 ml, dishwasher safe, each glaze slightly different, made in our
workshop in [town]. Customers: people buying a gift. Tone: warm and
simple. Do not add any claims beyond these facts.

The last line keeps the AI from adding "microwave safe" or "eco-friendly" when you never said so. Read the result as a customer would, and fix anything that is not exactly true.

FAQ

Can I use ChatG for my business?

Yes. ChatG is free to use with free daily messages and no account; our terms set out the rules of use. As with any AI tool, you are responsible for checking what you publish or send.

Can AI write my business plan?

It can produce a structure and help you think through sections such as your market, competitors, pricing and costs. The numbers and research must come from you and from real sources, because lenders and investors will check them.

Will AI-written content hurt my website in search results?

Search engines generally say they reward helpful, original content however it is produced, and act against low-value content made mainly to rank. Pages based on your real expertise and edited by you are the safe approach.

What is the best first task to try?

Pick the writing job you put off most often, usually replies to awkward customer emails or product descriptions. Write your business profile once, use it with that task for a week, and keep the prompts that work in a document so you can reuse them.

Can AI answer my customers automatically?

ChatG is a chat for drafting, not an automated customer service system. Read every reply before you send it: a wrong promise to a customer costs more than the time you saved.
